In this role, you will report to the Senior Executive Assistant to support C-level executives and drive day-to-day administrative operations.
You are expected to handle all duties with a high degree of integrity, professionalism, and confidentiality. The ideal candidate is highly motivated, takes initiative, and is comfortable with ambiguity. You know how to ask the right questions to gain clarity and can drive execution efficiently and proficiently.
Your Impact
Executive Logistics:
Plan and execute critical meetings, establish agendas, oversee logistics, and manage follow-ups with attendees.
Travel Management:
Coordinate dynamic travel schedules, including flight bookings, hotels, visas, and ground logistics.
Communications & Presentation:
Consolidate and prepare information and presentations with phenomenal attention to detail and accuracy.
Stakeholder Relations:
Maintain the utmost discretion and integrity when dealing with senior-level constituents, including Board members, investors, and internal/external leaders.
Special Projects:
Prioritize brainstorming, planning, and execution for special projects, including events, offsites, budgets, and Board meeting preparations.
Global Availability:
Remain responsive to the global nature of the business, which often requires availability during non-traditional office hours.
Onboarding Support:
Facilitate the onboarding of new employees, ensuring they have the necessary tools, equipment, and resources for their first day.
Vendor Management:
Partner with new and existing vendors to initiate privacy reviews and ensure accurate onboarding into internal systems for purchase order execution.
Calendar & Expense Management:
Manage and prioritize ever-changing calendars while handling expense reports and tracking reimbursement status for weekly expenses.
Ad-Hoc Support:
Coordinate with internal and external teams to support urgent requests, often on short notice.
