Administrative Assistant (Contract)

Summary
This position offers the opportunity to provide high-level administrative support to senior leadership within a dynamic commercial training organization. The role serves as a critical liaison for executive-level calendar management, travel coordination, and operational support for multiple senior leaders. This position requires a detail-oriented professional who excels at managing complex schedules, coordinating logistics, and maintaining confidential information with the utmost discretion. The successful candidate will work within a fast-paced, global team environment that focuses on strategic customer training and education initiatives, providing exposure to enterprise-level operations and international business practices.
Job Responsibilities
- Manage and maintain calendars for four senior executives, including one General Manager and three Senior Directors, ensuring optimal scheduling and conflict resolution
- Coordinate and schedule team meetings and maintain the business calendar for the organization's rhythm of business activities
- Arrange comprehensive travel logistics for executive team members, including domestic and international travel coordination
- Process expense reports and manage reimbursement documentation for supported executives
- Prepare agendas and materials for staff meetings and leadership discussions
- Create presentation decks and supporting materials for team meetings and business reviews
- Generate headcount reports and track discretionary spending for the organization
- Order hardware and equipment as needed for team members
- Coordinate award certifications and recognition for work anniversaries and achievements
- Supervise general office duties including ordering supplies and maintaining records management systems
- Review and process invoices, reports, memos, and other business documents
- Analyze incoming communications to determine significance and appropriate distribution
- Provide event planning support for occasional onsite meetings and team gatherings
Requirements
- Minimum 6 to 8 years of progressive administrative support experience
- Proven experience supporting executive-level leadership, preferably at the General Manager level or equivalent
- Demonstrated experience managing complex calendars for multiple senior executives
- Background in coordinating domestic and international travel arrangements
- Experience processing expense reports and financial documentation
- High school diploma or GED required
- Expert proficiency in Outlook calendar management and scheduling
- Advanced knowledge of the office productivity software suite
- Strong verbal and written communication abilities
- Exceptional organizational skills with keen attention to detail
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong data security awareness and best practices
- Excellent time management and ability to prioritize multiple tasks simultaneously
- Customer service orientation and interpersonal effectiveness
- Ability to work independently with minimal supervision
- Strong follow-through and task completion capabilities
- Clear and concise note-taking abilities
- Event planning and coordination capabilities

Additional Details
- Location: Seattle, WA (Onsite)
- Duration: 5 months
- Pay Range*: $29 - $33 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
